How to Set up the GL Accounting in Billing Admin?
When setting up the GL Push for Reynolds, you must first identify whether the dealer will be using Reynolds Blue Screen, which utilizes a cut and paste solution, or if they will be using ERA Ignite. Once you determine the version of Reynolds the dealer will be using, you can proceed to set up Billing.
Under the Child organization, navigate to the section called DMS Integration. Here you will select the DMS Type. Next, you will put a mark in the box that says “Attach to invoice email”. This selection sends an email of the excel file to the dealer the day after they efile. Depending on the solution, the dealer will either copy/paste the excel data into their DMS, or do a file upload.
Below are the fields that are required to be completed:
Control Type: This is what tells the DMS how to post the deal. Select either Stock # or Deal #.
Online Inquiry - Debit Account Number: Enter the DMS Account number where the monthly KSR invoice will post.
New Vehicle Sale - Debit Account Number - The DMS Account number where the DMV fees for new cars will post. (Do not edit the description field).
Used Vehicle Transfer - Debit Account Number - The DMS Account number where the DMV fees for new cars will post. (Do not edit the description field).
Track Shortages - Currently only works for Tuttle Click
eFile Fee Tracking - Choose whether to include the $30 MVSC Electronic Filing Fee in the posting or not.
MVSC Fee Control 3 - Used when a static vendor account number is needed. Usually seen with CDK setups.
MVSC Fee - Debit Account Number - enter the DMS Account number where the $30 fee will be posted to.
Separate New & Used MVSC Fee - If the dealer wants the $30 fee separated, the box and specify the account numbers for both new and used. They should be different. This setup is not typically used.
Credit Transaction - Account Number - The DMS Account number where the lump sum posting will go.
Credit Transaction Account Control Number - Leave blank
Credit Transaction - Reverse Amount -Used by Tuttle Click. This reverses the entry signs (+/-).
Cost of Sale - Debit Account - This is the DMS account number that you will post miscellaneous transactions to (dup titles, reg renewal, legal owner transfer, etc)
Track Cost of Sale MVSC Fee Separately - Separates the fee into its own account.
MVSC Refund Fee - Debit Account Number - The DMS account number where the MVSC fee will be posted to.
Refund Amount - Debit Account Number - The DMS account where the refund amount will be posted to.
eFile Refund Amount - Debit Account Number - The DMS account where the eFile amount will be posted to.
